This will enhance the usability, safety and appearance of the frontage of the property and provide much needed outdoor space for children's programs and community events.

1) Describe your organization's mission statement and how your services meet them: VRCA is a nonprofit organization dedicated to fostering a vibrant and connected community. We strive to provide inclusive and accessible programming that serves residents of all ages, backgrounds, and abilities. Our community-driven initiatives aim to promote wellness, creativity, and social engagement across multiple demographics. We also house childcare programs in our upper hall that would greatly benefit from safe and functional outdoor space.

Details of Your Organization’s Grant Request
1) Nature and goals of the project, program or event: The proposed landscaping upgrades will focus on the following key areas:
- Site Preparation – Clearing debris and combustible plants in accordance with FireSmart recommendations, and preparing the grounds.
- Fencing – Installing a simple, durable fence around the property to improve safety and privacy.
- Community Seating – Adding benches and seating areas to encourage social interaction and community engagement.
- Planting & Shrubs – low-maintenance, FireSmart, native plants to beautify the space and promote sustainability.
- Pathways & Hardscape – Creating accessible pathways and hardscaping features to ensure the space is functional for all users.
- Irrigation - installing a system to ensure the longevity of the plants and reduce long-term maintenance costs.
These upgrades are part of our broader initiative to create a welcoming and functional outdoor space for children, families, and seniors who frequently use the VRCA Hall for events and activities.
2) Summary of direct and indirect benefits to the Town of View Royal: This landscaping upgrade will directly benefit the local community by:
- Enhancing the aesthetic appeal of the VRCA Hall, making it a more inviting space for Hall users and our community.
- Improving safety for children's programs, especially during summer months when the hall will be used for full day camps in our upper hall. 3) Encouraging community engagement by providing a comfortable, functional, outdoor space for social gatherings, educational programs, and recreation. 3) Supporting environmental sustainability by incorporating native plants, shrubs, and an efficient irrigation system.
We are confident that these landscaping upgrades will significantly improve the outdoor environment of the VRCA Hall users and provide lasting benefits that will foster a sense of pride and community spirit. The removal of debris and combustible plants and material with the addition of environmentally considerate greenery will also increase community safety.
Conditions of Funding
- The applicant must acknowledge the support of the Town in all printed and publicity material related to the project, event, or program;
- Funds must be used for the purpose for which they were requested. Any funds not used for the requested purpose must be returned to the Town.
- Funds will be released as follows: a. Grants in aid provided for annual programs will be released at 100% at time of approval by Council; b. Grants in aid provided for special projects or events will be released at 50% at time of approval by Council and 50% after receipt of the final report; c. Conditional grants in aid will be paid 100% upon satisfactory proof that the conditions, as set by Council, have been met.
- Organizations receiving grants from the Town shall provide an accounting of the project or program for which the grant was approved as follows: a. Where the grant in aid was for a specific project or event the applicant must submit a final report within 45 days after the project or event is complete. b. Where the grant in aid was in support of an annual program, the applicant must submit a final report within 60 days of the end of the organization's fiscal year.
- An final report must include the following information: i. Evaluation of the project, event, or program; ii. Financial statement of actual revenue and expenses for the project, event or program; iii. Attendance figures, if applicable; iv. Number of participants in the project, event, or program; and v. Evaluation of the direct and indirect benefits to the Town.
- In the event that the project or program is not completed, the grant recipient organization must notify the Town as soon as practical and refund any grant funds that have been provided for that project.
